How do I apply a credit to a receivables account when the customer has overpaid his statement to apply to a future charge?

    Hi SFltd:

    You’ll need to do this in two steps through the transaction window.

    First transaction: enter a deposit for the full amount (let’s say $2,000) and use a part of that to pay the outstanding receivable charge for this customer (let’s say $1,500). This will leave your transaction out of balance by $500. Post that remaining amount as A- to Prepaid Items.

    Second (new) transaction: enter a Receivable Charge for a negative $500, use same date and reference number as the last
    transaction. Balance this by posting an A- line to Prepaid Items again but this time for a negative $500.

    Once you’ve done those two entries you will have a Credit sitting on you’re A/R [Supplier name] account that you can use to offset future bills.
